Administrative Project Coordinator

Job Summary

The University of Utah Division of Games-a national leader in games and interactive media-seeks a dynamic and detail-oriented Administrative Project Coordinator to support both academic operations and international partnerships. This full-time position is split equally between:

  • Coordinating course scheduling, curriculum updates, scholarship processing, and special projects for the Division of Games on the Salt Lake City campus, and
  • Supporting ongoing collaboration with the University of Utah Asia Campus (UAC) in Incheon, South Korea.

Responsibilities
50% - Academic Operations (Salt Lake City Campus)
  • Manage semester course scheduling in collaboration with Division leadership and central campus scheduling offices.
  • Coordinate and administer the Division's scholarship application and award processes, ensuring alignment with deadlines and university policies.
  • Maintain records and data related to course offerings and scholarship distribution; prepare internal reports, and assist with curriculum and catalog updates, and program administration as needed.
  • Serve as a key support resource for Division leadership in managing special projects and new initiatives.



Engage a wide range of stakeholders and partners in context-appropriate ways.

50% - UAC Program and Project Coordination
  • Coordinate academic and experiential efforts between the Division of Games in Salt Lake City and the University of Utah Asia Campus (UAC) in South Korea.
  • Work flexible hours (primarily afternoons/evenings Mountain Time) to support coordination across time zones.
  • Facilitate communication between campuses and support joint initiatives such as Game Jams, internships, and experiential learning programs.
  • Oversee administrative processes for shared programs and projects; maintain relevant records, documentation, and tracking systems.
  • Provide administrative support to faculty and senior personnel involved in UAC-related efforts.
  • Assist in the planning and coordination of events, workshops, and meetings across campuses.




Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:

Operations Program Manager, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.



Preferences
Required:
  • Bachelor's Degree plus 4 years of directly related work experience, or a Master's degree and 2 years of directly related work experience (one year of college education is equivalent to one year of related work experience).
  • Demonstrated organizational and communication skills.
  • Ability to work independently and collaboratively with diverse teams.
  • Flexibility in scheduling to support international coordination.
  • Commitment to detail, follow-through, and deadline-driven work.



Preferred:
  • Master's degree.
  • Experience with higher education administration, especially support for unit leadership.
  • Intercultural communication skills and experience working with international partners.
  • Familiarity with the gaming community, game education, or creative technology environments.
  • Experience coordinating complex, multi-stakeholder projects.
  • Proficiency in Korean language is a plus but not required.
