The Administrative Project Coordinator provides planning and management of advising operations, intake processing, advising systems integrations and data flow, and provides customer service for diverse student populations who utilize services provided by the Lore Isa Wiggins Advising Center and Career Services at the Community College of Aurora. As a direct report to the Director of Advising and Career Services, this position will provide administrative and project support to both the Advising and Career Services Teams. Essential to this role, the Administrative Project Coordinator will manage the traffic flow in the Center to include in-person student interactions, phone calls, emails and online student and prospective student interactions. Due to the high degree of student and staff interaction, this position will require effective and efficient communication and organization skills, attention to detail, problem solving, and competence in managing projects, meeting deadlines, and determining effective processes and procedures. This position will also interact with students, staff, college departments, and community members outside the college.

Examples of Duties / Knowledge & Skills
Communications and Customer Service

  • Assumes overall accountability for communications as part of the academic and career advising departments and is responsible for communication flow, including the management of fliers, letters and print mailings as well as static and dynamic email marketing campaigns
  • Serves as administrative office staff for the Lore Isa Wiggins Center, handling questions and concerns in a professional manner and coordinating administrative operations for the department
  • Updates departments' webpage by coordinating with staff & web services. Attends ongoing training as needed
  • Supervises the Lore Isa Wiggins Advising and Career Center phone and central email operations for both the Advising and Career Service departments
  • Conducts initial triage of student needs for advising. Determines needs, adjust holds, review testing scores and provide general advising information in response to student inquiries

Coordination and Administrative Duties
  • Assists the Directors in planning and coordination of events including but not limited to: leadership and all staff retreats, council meetings, campus-wide meetings, Career Fairs, orientation and regular staff meetings
  • Coordinates office supplies and materials; stocking and ordering supplies as needed
  • Submits work orders with facilities and IT Help Desk
  • Provides support for advising during new student orientations
  • Assists with developing Center specific knowledge to support materials, operations & systems
  • Assists with training of professional and student staff in the use of technology
  • Assists staff with programming logistics, including budgeting, planning & marketing of events, catering, equipment rental, room reservation, facilities requests, signage, set-up/breakdown of events & programs
  • Initiates and maintains administrative paperwork to include personnel, onboarding, facilities, IT and other administrative duties

Data and Systems Management
  • Assists Director of Advising and Career Services with efforts to collect data and information, document and measure department efforts and objectives. Examples of data collected include student appointments and utilization of CCA Navigate and Purple Briefcase
  • Assists Director with creating enrollment, advising, retention and persistence data reports
  • Serves as primary liaison with institutional technology department in regards to database and systems management such as Banner, EAB, Purple Briefcase, Salesforce and D2L
  • Inputs Advisor assignments according to Pathways

The ideal candidate must be able to adapt to shifting priorities, meet deadlines, and effectively execute in a fast-paced environment. They must have excellent organizational skills; meticulous attention to detail; a proactive approach to problem solving and prioritization, complemented by strong decision-making capability; as well as excellent professional verbal and written communication skills.

Minimum qualifications & Requirements
REQUIRED QUALIFICATIONS:

  • Bachelor's Degree
  • Experience providing administrative support in an office or higher education environment
  • Experience in providing customer service to diverse populations including but not limited to racially and ethnically diverse populations, individuals of varying ages, gender identities, beliefs, veterans/military status, and individuals of varying abilities
  • Organizational and time management skills with demonstrated ability to plan, coordinate, prioritize, and effectively manage multiple initiatives, programs, and events.
  • Effective communication skills: speaks, listens and writes in clear, thorough and timely manner using appropriate and effective communication tools and techniques
  • Collaborative approach to work with students, parents, staff, faculty, department staff and community members
  • Office management skills including ability to use computer programs such as MS Word, Excel, Office 365 and learn to use Salesforce, EAB Navigate, Purple Briefcase, EMSI and Banner

PREFERRED QUALIFICATIONS:
  • Bilingual (primarily verbal) in English/Spanish
  • Experience working in Higher Education
  • The successful candidate must have the ability to work with and be sensitive to the educational needs of a culturally and an ethnically diverse urban population and a demonstrated commitment to diversity, equity and inclusion.
  • Experience working cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness.
  • Knowledge and experience providing information and referral to resources.
  • Knowledge and/or experience collecting and organizing data and information for the creation of writing reports.
  • Knowledge of academic advising and career development practices and principles
  • Experience maintaining confidentiality in compliance with the Family Educational Rights and Protection Act (FERPA)


Supplemental information
Salary range: $42,500.00 to $43,645.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan. Leave and holiday benefits are also included. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
