OVERVIEW OF CCA

The Community College of Aurora (CCA) is a dynamic institution that is committed to serving its diverse student population through innovations in instruction and student support founded on principles of equity and inclusion. CCA is a public, two-year community college serving Aurora and east metro Denver and has been designated as a Hispanic-Serving Institution (HSI) by the U.S. Department of Education.

CCA enrolls 11,000 students annually, over 62% of whom are students of color, including nearly 32% Hispanic students. 65% of CCA students receive some type of financial aid, including 52% of whom receive Pell grants, and nearly two-thirds are first-generation college students.

In addition to traditional degree and certificate programs, CCA offers non-credit professional development courses, customized training, and economic and workforce development resources to employer partners and individual professionals seeking to enhance the capacity and productivity of their workforce or individual knowledge and skills.

POSITION SUMMARY

Provide administrative and office support to vice president's office and vice president's team members. Exercise discretion and independent judgement in handling sensitive material and/or information based on in-depth knowledge of college policies, procedures, and practices. Anticipate and initiate appropriate action regarding administrative tasks as related to office management and provide leadership on special projects, including accreditation activities as assigned.

Examples of Duties / Knowledge & Skills

Administrative Support and Office Management
  • Anticipate and initiate actions regarding phone calls, emails, correspondence, meeting scheduling and arrangements, and persons to be contacted in all routine procedures for division staff.
  • Manage calendars of executive staff, as requested. Adjust schedules as necessary using discretion and good judgement in rescheduling appointments.
  • Arrange meetings and logistics for programs and other gatherings by reserving meeting rooms and making appropriate arrangements for seating, technology, food, etc. Attend meetings as requested to take minutes. Disseminate information as directed.
  • Provide support for events and programs coordinated by the Division of Administrative Services.
  • Complete administrative paperwork accurately and in a timely fashion.
  • Prepare correspondence including composing, editing, and proof reading.
  • Research, develop, and prepare special reports and materials as requested.
  • Create and maintain files and records as required.
  • Update information and documents on the college website and employee portal.
  • Maintain strict confidentiality of information related to student records, personnel, and organizational issues.
  • Handle student complaints received through the College's online system or in-person in the office and assist to troubleshoot or refer to the appropriate college personnel.

Budget Management
  • Assist with monitoring and managing individual and divisional budgets as needed.
  • Make and Track purchases and related paperwork on behalf of the division.
  • Prepare, process, and track invoices and related paperwork
  • Coordinate travel arrangements for executive team as needed and in accordance with State Fiscal and Travel Rules.

Collaboration and Leadership
  • Actively participate in training and initiatives sponsored by the Equity, Diversity, and Inclusion Council.
  • Work collaboratively with division to provide coverage and assistance as needed.
  • Serve as the back-up support to the President in the absence of the Executive Assistant.
  • Work collaboratively with internal and external partners on division and college initiatives.
  • Liaison and Coordinator for Additions and Terminations between Human Resources and Operations.
  • Other duties as assigned.


Minimum qualifications & Requirements

  • Knowledge of current practices and trends in higher education and office management.
  • Advanced proficiency with software including but not limited to Microsoft Office Suite, Adobe Acrobat, as well as technology used for meeting purposes including but not limited to, Zoom, Microsoft Teams, and WebEx.
  • Work independently and collaboratively, adapt to shifting priorities in a fast-paced and dynamic environment with frequent interruption.
  • Ability to organize and prioritize work, meet deadlines, and coordinate and monitor complex projects and activities.
  • Handle sensitive or difficult situations while maintaining confidentiality.
  • Effective oral and written communication.
  • Establish and maintain cooperative, welcoming working relationships with a diverse population in the course of performing assigned duties.


Supplemental information
Salary Range: Anticipated starting salary range: $44,517.00- $49,517.00. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
