Assistant Project Manager

MIT Lincoln Laboratory Facilities Services Department is currently seeking an Assistant Project Manager. The Facility Services Department is responsible for the operations and maintenance of the MIT Lincoln Laboratory complex in support of the research mission. It also furnishes the design, engineering, and construction needs of the Laboratory, addressing its ever-changing program requirements. The department's overarching goal is to provide prompt, quality service in a wide spectrum of responsibilities in compliance with state and federal codes, and manage many services that impact the workplace quality of life for the Laboratory's population. This position is responsible for supporting the Lead Project Manager to execute on DO art initiative, rapid portfolio (small project), DFM O&M portfolio, and coordinated work orders with Operations center.

Responsibilities:
  • Work with Project lead on updating weekly/monthly milestone schedules on specific projects as well as ensuring adequate project coordination and timely project support is available.
  • Budget & Signature Approvals
  • Assist with accurate recording and tracking of each project spend plan in detail and update schedules frequently on project charter.
  • Support field engineer and all field work on daily project logistics and support in house construction team where applicable, as well as vendors and subcontractors to ensure quality control and project delivery on time and within approved budget.
  • Assist Lead PM with field communication with vendors and in-house construction team on portfolio lifecycle milestones and scheduled work.
  • Assist Lead PM to coordinate with vendors and subcontractors on schedule and delivery for all project field related equipment, supply installations, and construction services.
  • Provide Project Lead with weekly or monthly project status updates throughout the project lifecycle.
  • Review project reports, documentation, and field reports with project lead as well as collaborate with FSD stakeholders (Project controls team, Engineering, O&M/OPS, Planning and FSD leadership)
  • Project Management Lifecycle Oversight
  • Assist Project Lead with project scheduling and coordination with all stakeholders.
  • Support and update all project charter updates, DFM O&M project expenditures and job cost accounting processes including: accuracy, documentation, approvals, payment reporting, and tracking.
  • Assist Project lead on project closeout/vendor score card and closeout documentation with project controls team/clients and other stakeholders.

    Required Qualifications:
  • Bachelor's degree with emphasis on facilities management, architecture, engineering, and construction management or other related field or equivalent related experience is preferred.
  • Minimum three years diversified experience in facilities management, planning, design, construction management of large scale, institutional, industrial, and commercial projects including experience in supervising professional consultants and general contractors.
  • Experience in leading a project team and supervising professional consultants and general contractors.

    Preferred Qualifications:
  • Working knowledge of all aspects of general design, construction, facility management
  • Experience reading and interpreting construction documents and drawings.
  • Knowledge of construction codes, and regulatory agency requirements as they relate to construction projects.
  • Knowledge and understanding of construction and professional service contracts for Projects.
  • Experience in dealing with construction and contractual issues in politically sensitive environments.
  • Knowledge and experience with software applications to manage projects and scheduling using Microsoft Office products (Word, Excel, Project, etc.)
  • Outstanding written, communication, and organizational skills to successfully and simultaneously manage construction projects.
